Matco will deliver all the freight to the exhibit hall and place it at your booth space. This service is provided as part of your booth registration fee.
Please follow these instructions:
- Include a piece count on each box making sure to include the total number of pieces in the shipment (i.e. 1 of 12, 2 of 12, etc.). All freight should be properly packaged for safe handling and transportation. All freight should arrive, at the above‑noted address, prior to Tuesday, November 8.
- Scan the waybill and email it to Marc Parker
marc.parker@matco.ca) AND Mike Keddy (mike.keddy@matco.ca) advising them you are shipping freight.

Call Marc Parker and Mike Keddy at the Yellowknife branch (867-873-3333) a few days prior to the conference to ensure that your freight has arrived.
Please note that due to freeze up of the Mackenzie River (and possible low water levels), the Mackenzie River Ferry at Fort Providence may not be operational and this can cause delays for ground freight. We recommend you watch for updates regarding the crossing and if it appears that there could be delays, we would recommend shipping by air.
Contact your freight carrier to pick-up the freight from the exhibit hall (rear entrance of the Weledeh and St. Patrick School gymnasium – watch for signs near the Lahm Ridge Tower, 4501-50 Avenue). Some carriers require a street address so it might be best to contact Matco Transportation. Freight must be picked-up by 17:00 on Thursday, November 17.

Exhibitor Freight
If you will be transporting your own freight, we request that you use the rear entrance of the Weledeh gymnasium (watch for signs near the Lahm Ridge Tower, 4501-50 Avenue) to alleviate disruption with the school traffic.
Important Information
- The Geoscience Forum trade show is only open to conference delegates, with the exception of Thursday, November 17 (10:00 12:00) when it is open to schools and the general public.
- Security officers will ensure that everyone who enters the trade show is wearing a name badge. Therefore, please ensure that you register everyone working at your booth (delegate passes are interchangeable between staff members).
- Registration packages for each delegate can be picked up at the Capitol Theatre (4920 52 Street) at the check in counter (Monday, 13:00 16:00; Tuesday to Thursday, 07:00 14:00).
- The use of tape, tacks, or any other attachments is prohibited.
- Delegates must wear a conference name badge at all times since security officers will not permit anyone without them to gain entrance to the trade show.
- Complimentary receptions will be held at the trade show (in the Weledeh and St. Patrick School Gymnasium) on Tuesday and Wednesday, 17:00 19:00.
- Complimentary lunches will be held at the trade show (in the Weledeh and St. Patrick School Gymnasium) on Tuesday and Thursday, 13:00 14:30 (this is to reduce congestion with the school traffic over their lunch break).
- There will be complimentary shuttle bus services, for registered delegates (including exhibitors), between the technical program hall (Capitol Theatre, 4920 52nd Street) and the exhibit hall, during trade show hours.
- Smoking will only be permitted in the designated area (at the rear of the gymnasium).
